Ideally we are looking for someone who has had experience of workspace, studio, gallery, business or hospitality management. They should be qualified to a graduate degree or equivalent level. A lot of our Hosts have a background in the creative industries, although this is not essential.We invest in our people. Being a Host is no small task. It requires attention to detail, close management and the building of strong working relationships with our local partners, suppliers and of course our lovely members.

The role is quite autonomous and will require you to wear many hats. You’ll need to be on your game, be ready to adapt to the day’s events and always use your initiative. Hosts are the first port of call when things go awry too. IT malfunction? Member meltdown? You’ll come to the rescue and always have your eye on the ball to keep the building looking fantastic and members happy with your plate spinning skills.

You’ll be looking to continually build a vibrant, diverse and collaborative space by supporting our members and helping us to get the word out to local businesses by actively promoting the building. You’ll meet and greet everyone who walks through the doors with a smile and positive energy.

The Old Church School (TOCS) is well established in Frome but staying embedded in the local community is important and helps us promote the space to anyone looking to become a member. Whether that’s working on partnerships with small businesses or hosting events for the public, we want TOCS to remain as the go-to workspace in Frome and a place to nurture growth and creativity.

You’ll be helping to manage members’ events too. Bringing talks, workshops and meet-ups into the event space as well as hosting social events. It’s up to you what you bring into the space. Some examples of member events we have at other buildings include beer trolleys, cheese sandwich club (!), book clubs, film clubs, life drawing, yoga, pilates and anything that you think will enhance the space and bring our community together.

The Building

The Old Church School is, as its name suggests, a former Victorian school tucked discreetly behind the Wesley Methodist Church. It is a beautiful Grade II listed building with a striking modern extension that was added about 10 years ago. We opened the building originally in 2007. It is set around landscaped courtyard gardens and has car parking accessed from Park Road. The building houses individuals and businesses from all sectors including design, marketing, communications, technology, professional services and many others. Our members are a reflection of the diverse range of businesses Frome has to offer. Facilities include coworking desks, meeting rooms, private studios, phone booths, a members lounge and kitchen, event space and courtyard garden.

The Company

Forward Space owns and manages shared workspaces. We have been transforming how and where people work since 2007. Our mission is to raise the profile of regional towns and cities by creating design-led workspaces that are professional, creative and inspiring. We have grown organically to be recognised as one of the leading operators of shared workspaces in the South West. We now have eight buildings stretching right down to Penzance. We are fiercely independent and still wholly owned by our founder. The success of our buildings is dependent on the environment we create within them. So we work hard to establish a cohesive, inclusive, collaborative community that is supported and nurtured.

Team

You are not alone. You will report to a General Manager, who will be based at TOCS for part of the week. They in turn report to our COO, Alice. TOCS is also the Forward Space HQ so Ange, our finance and administration manager is based in the building. Their job is to support you in your role. Both Alice and our CEO, Gavin are regular visitors to all our buildings. We are a small, tight team and are in constant contact with each other via internal chat and video calls. We keep internal meetings to a minimum and we don’t micro-manage. We believe in autonomy and treating people like adults.

Key Responsibilities

Front of House
– Dedicated Front of House for TOCS; you are the face of the building
– Represent and support the Forward Space ethos and brand
– Meet and greet visitors & members, providing a welcoming environment at all times
– Ensure the smooth day to day running of the space
– Aim to build a strong creative community, which is inclusive, diverse and vibrant
– Ensure the building is always looking its best

Events Management
– Manage an events diary; don’t be afraid to unleash your creativity
– Organise regular member events to bring the community together
– Manage the programme of events for the local community
– Provide events reception cover if required (overtime paid)

Customer Service
– Answer all enquiries, encouraging people to pop in and say hello
– Provide day to day support to all TOCS members; making sure we help them thrive
– Resolve any technology issues with the help of our external IT support company
– Provide a detailed building induction to all new members, sharing all relevantprocedures and policies to ensure everyone is safe

Sales & Marketing
– Promote all available shared and private spaces
– Provide tours showcasing what TOCS has to offer
– Create partnerships with local businesses
– Use social media to shout about all the great things happening within the community
– Manage any waiting lists for shared or private spacesAdministration
– Studio management – maintaining contact lists, invoicing (using Coherent our management software), reporting maintenance issues, managing recycling & waste, liaising with cleaners etc

– Primary key holder ensuring building is secure at the end of each day and dealing with alarm activations, CCTV, access control etc
– Liaising with GM to ensure cover is in place for annual leave
– Using software including Google Workspace, Trello, Canva, Mailchimp, Coherent etc
